Build and publish a sequence

Design a step-by-step outreach flow across LinkedIn, email and phone, personalise it, preview it, and publish it so campaigns can run it.

A sequence is the flow a campaign runs for each person: send a connection request, wait, message if they accepted, otherwise email, and so on. You build it once in a visual editor, publish it, and any number of campaigns can then use it. Sequences live under Outreach, then Sequences, in the left sidebar.

Create a sequence

Click New Sequence. You can start from a blank sequence or from one of the templates, then name it. The editor autosaves as you work; the top bar shows Saving... while it does.

The steps you can use

Drag steps from the palette onto the canvas, or click them to add them after the selected step, and connect them in the order they should run.

Every sequence has exactly one Start step and at least one End step. Conditions branch into a Yes and a No path; every other step has a single next step. The Wait for Connection condition gives up after 14 days by default and continues down its No branch.

A Call step never dials anyone by itself. When a lead reaches it, Aithon parks the lead and adds a task to the owner's Today queue; the outcome you record after the call routes the flow through the Call Outcome? condition.

Writing an email step

An email step has a subject and a body. Two switches decide how it behaves. Send directly sends the email from the campaign's sending mailbox automatically; switched off, Aithon creates a draft in your mailbox for you to review and send. Stop on reply ends the sequence for a person as soon as they answer. You can also turn on the one-click unsubscribe header and footer for the whole sequence, and set how many days to wait when a contact is out of office.

Personalise with merge tags: {{first_name}}, {{last_name}}, {{full_name}}, {{email}}, {{title}}, {{phone}}, {{linkedin_url}} and {{company}}. A tag Aithon cannot fill is removed from the email rather than sent as a literal, and the campaign's pre-launch check tells you how many leads would leave each tag blank. The Preview tab renders the step with sample data; real values fill in once leads are enrolled.

InMail steps take a subject of up to 200 characters and a message of up to 1,900, and let you choose what to do for a lead the InMail cannot reach: skip the step, or send it as an email instead.

Publish

The Publish button stays disabled until the sequence is valid. The checker lists what to fix, and clicking an item highlights the step on the canvas. The rules are the ones you would expect: one Start, an End that every path reaches, no unconnected or dead-end steps, both branches on every condition, no loops, and no empty email or message content.

Editing a sequence that campaigns already use

Publishing a change never alters a running campaign by itself. Each campaign froze its own copy of the flow when it started, and keeps running that copy. After you publish, Aithon offers to update the campaigns that use the sequence; you choose which ones move to the new version. The dialog grades each change: content only, step changes, or changes that need a decision because a lead is currently sitting on a step that no longer exists.

Revert to draft takes a sequence out of circulation for new campaigns; running ones are unaffected. To change one campaign's copy without touching the sequence, edit the text of a step on the campaign's Flow tab; that path allows content edits only.

Sharing

A sequence is yours until you choose Share with org, after which teammates see it under Shared with me, read-only, and can duplicate it into their own sequences.
