When something does not appear

Deals, emails, leads or accounts missing? The common causes, what Aithon is telling you, and what to do about each.

Most "it is not there" moments in Aithon come down to a handful of causes: a source still syncing, a mailbox connected for the wrong purpose, an account outside your organization's list, or a filter you forgot was on. This page goes symptom by symptom.

Your CRM is connected but deals or accounts are missing

Start with what the page says. No deals yet with "Your CRM is connected. Deals will appear here as they sync" means exactly that: give it a few minutes and reload. If the list has been empty for longer, work through these.

  1. A filter is hiding them. The deal list defaults to active deals, so a pipeline of closed business reads as empty. Change the status filter. In lists generally, "No opportunities match these filters" and "No accounts match these filters" mean the data is there and the filter is not.
  2. You are looking at your own plate. Sellers see My Accounts; admins also see All Accounts. If an account exists for the organization but is not assigned to you, you will not see it until someone assigns it or you add it yourself.
  3. The person who connected the CRM cannot see those records. Aithon syncs what the connecting account can see. If that user's CRM profile is narrow, the sync is narrow. The fix is for that person to reconnect with wider visibility. The Integrations card names them: "This integration was connected by ."
  4. The wrong instance is connected. A sandbox looks exactly like a healthy connection and contains none of your real records. Disconnect and reconnect against production.

A deal shows no intelligence

The panel names the missing ingredient rather than showing an empty analysis. Match what you see:

A common trap: a mailbox connected for outreach only does not feed Deal Intelligence. Check the role next to the address on the Integrations page. If it reads Outreach and not Intelligence, use Edit access and tick Intelligence.

Only one mailbox per provider can hold Intelligence. If you try to move it, Aithon tells you which mailbox has it: disconnect there first.

Emails or meetings are not attached

  1. The mailbox is outreach-only. As above.
  2. A privacy category is switched off. An admin can exclude Email Communications, Call Transcripts or Meeting Metadata from AI analysis. Excluded categories do not appear in insights, and switching one back on takes effect on the next generation, so regenerate afterwards.
  3. The other person is not linked to the account. Aithon attaches conversations through the people on them. Add the counterpart as a stakeholder on the deal or a contact on the account.
  4. Meetings specifically. A Meet transcript reaches Aithon only when transcription was turned on during the call and the person who connected Meet hosted it. Google also keeps transcripts for a limited time, so connect Meet before the meetings you care about. Nothing appears in this case, with no error to see.

A company is missing entirely

Use Add account and search. What happens depends on where the company sits:

  1. In your organization's list: it is added to your plate straight away.
  2. Outside it: the row shows Request, which sends it to an admin. You can open a pending request to view the account while you wait, and it joins All Accounts once approved. Admins approve from the Assignments page.
  3. Not found at all: "No companies found. Can't find it? Ask us and we'll add it to the universe for you."

If you hit a daily limit on new accounts, Aithon says so and tells you to try tomorrow or ask for a higher limit. Admins loading many companies at once should use a CSV list instead, from the Lists tab.

No leads, or the wrong ones

Leads exist where one of your products meets a need Aithon found. That makes the product catalogue the first thing to check.

  1. No products. No catalogue means no leads, for anyone. See Set up your product catalogue.
  2. The product is not tagged to that use case, or the match is sitting under Market Opportunities, which produces nothing. Promote it.
  3. The product is hidden. Hidden products generate no leads.
  4. Filters. "No leads match these filters" offers Reset all filters. One filter cannot be widened into results: if the message says no AWS solution category maps to this product's use cases, clear that filter rather than loosening it.
  5. Per-user product scoping is on and nothing is assigned to you. Ask an admin to assign your products.
  6. The account is not in your organization's list. Add it first.

A campaign will not start

The start dialog lists everything standing in the way. Red items block the launch:

  1. No leads on the campaign.
  2. Every lead missing both an email and a LinkedIn URL, so nothing would run.
  3. The sequence sends email and no sending mailbox is selected, or the pool has no mailbox for the provider the sequence uses. Both are fixed in Settings.
  4. Every sending mailbox unavailable, because they are cooling down or disconnected.
  5. The sequence has no steps, or LinkedIn steps with no LinkedIn connected.

Amber items let you proceed: some leads missing an email or a LinkedIn URL, a degraded sending pool, or the unsubscribe footer turned on without a postal address set.

The Pre-launch readiness panel is separate and worth reading. It shows, per merge tag, how many leads have a value, so you can fix the blanks before they go out. If it reports unknown placeholders or single-brace tokens, correct the template: those ship literally or render empty.

Someone in a campaign was skipped

Open the person in the campaign and read their timeline. Each skip states its reason. The ones you can act on:

A campaign that stops by itself shows Paused automatically. Fix the sending mailbox, then resume.

An integration shows Error or asks you to reconnect

A red Error badge means the connection is broken, usually an expired or revoked authorization, and the row offers Reconnect. Two messages need more than a retry:

  1. " wasn't connected: the required permissions weren't granted." Reconnect and keep every requested checkbox ticked on the provider's consent screen. Retrying without them fails the same way.
  2. "This integration was connected by ." It is organization-wide, so that person disconnects or reconnects it.

A mailbox cannot be disconnected while an active campaign is sending from it. Pause or repoint the campaign first. And Paused until on a mailbox is the bounce protection doing its job; it resumes on its own.

AWS

  1. The opportunity will not submit. The form names the missing fields, and three rules catch most attempts: the close date must be in the future, the business problem needs real detail, and a United States customer needs a real US state.
  2. Funding is blocked. AWS funding needs a submitted opportunity. If the deal is not in Partner Central, send it first; if it is stuck in Pending Submission, use Resubmit and apply once it shows Submitted.
  3. Marketplace says access is not set up. Your AWS administrator updates the Aithon integration stack once, and listings and offers appear. If instead you see the seller-registration checklist, finish your profile, tax and banking details in the AWS Marketplace Management Portal.

A whole section of Aithon is missing from the sidebar

Not everything is switched on for every organization. If a menu item is absent, or a link bounces you elsewhere, that capability is not enabled for you. Ask your Aithon contact.
