Privacy controls: choosing what AI can use

Organization admins can exclude whole categories of data, such as email or call transcripts, from every AI feature. What the switches do, and what excluded means.

Connecting a source lets Aithon read it. Privacy controls decide, separately, which categories of that data the AI features are allowed to use. An organization admin can switch a category off and every insight, summary, brief and chat answer stops drawing on it, across the whole organization.

Where the controls are

Open the menu under your name at the bottom of the left sidebar, choose Settings, then the Privacy tab. The tab is visible to organization admins only. Each category has a switch: on means eligible for AI analysis, off means excluded. Changes take effect on the next insight generation run.

The categories

CategoryWhat it covers
CRM DealsDeal and pipeline data from HubSpot and Salesforce
CRM ContactsContact and company identity data
CRM ActivitiesTasks, meetings, notes and campaigns from HubSpot and Salesforce
Email CommunicationsEmail content from Outlook, Gmail, HubSpot and Salesforce
Call TranscriptsGong call recordings and Granola transcripts
Meeting MetadataCalendar events, attendees and Meet transcripts
MessagingSlack messages and channel content
External ProfilesPublic professional-profile data

Every category is on by default.

What excluded means

Switching a category off stops it being used by AI features across your organization, including material that was already indexed. The connection itself keeps working. Each change records who made it and when.

Excluding a category reduces what Aithon can tell you. Switch off Email Communications and deal health, stakeholder signals and summaries lose their richest evidence. That is the trade, and it is yours to make.

Two other controls sit next to this one. Each user decides which of their own sources are connected at all, from the Integrations page. And the Do-Not-Contact list, also admin-only in Settings, keeps named addresses and numbers out of outreach and dialing regardless of what the AI knows about them.
