Connect Gmail to Aithon

Aithon connects to Gmail with standard Google OAuth: you sign in to Google yourself, Aithon never sees your password, and each user connects their own mailbox. You can connect more than one.

A mailbox can be connected for two purposes, chosen with two checkboxes when you connect. Intelligence reads your email so Aithon can surface stakeholder signals, commitments and deal health; it is read-only. Outreach lets Aithon draft and send emails from your account as part of outreach sequences, and reads delivery and bounce notifications to protect your deliverability. Tick one or both; the permissions Google asks you to approve follow your choice.

Prerequisites

1. A Google Workspace account. A personal Gmail address works for the connection itself but is rarely the right choice for company email.
2. An active Aithon account.

Step 1: Open Integrations

Open the menu under your name at the bottom of the left sidebar and choose Integrations.

Step 2: Connect Gmail

Find Gmail in the list and click Connect. A short dialog asks what this mailbox is for: Intelligence, Outreach, or both. If you plan to run cold outreach, a dedicated sending mailbox is recommended; mixing outreach and inbox intelligence on one mailbox mixes bounce traffic into your insights.

Step 3: Sign in and approve

Google's consent screen lists the permissions for the purposes you chose. Keep the boxes ticked and approve; if a required permission is left unticked, Aithon refuses the connection and asks you to reconnect rather than storing a partial one. You are then returned to Aithon, where the Gmail card shows the mailbox as connected.

What Aithon asks for

Aithon never asks for Drive, Contacts or admin permissions, and never for other users' mailboxes.

What is read

For an Intelligence mailbox, Aithon reads the mailbox history on first connection and then keeps up as new mail arrives. Email becomes evidence on the accounts and deals it relates to: Deal Intelligence summaries with citations, the engagement timeline on each account, and reply handling for outreach. For an Outreach-only mailbox, Aithon tracks delivery and replies for the messages it sent, so sequences stop when someone answers.

Only one mailbox per user can be the Intelligence mailbox. If you connect a second Gmail mailbox for intelligence, Aithon keeps the first and connects the new one for outreach only, and tells you so.

Gmail, Google Calendar and Google Meet share one authorization

Google treats Aithon's Gmail, Google Calendar and Google Meet connections as one application. Google merges the permissions you have granted, and there is no way to revoke one product's permission on its own. In practice: disconnecting the last connected Google product revokes Aithon's Google authorization for your account; disconnecting one while others stay connected keeps the authorization in place.

Changing or revoking access

To change a mailbox from one purpose to another, Google requires disconnecting and reconnecting; Aithon walks you through it. To revoke, disconnect the mailbox from the Integrations page, or remove Aithon from your Google account's third-party access page. A mailbox that is the sending mailbox of an active campaign cannot be disconnected until it is removed from that campaign.

Organization admins can exclude email from AI processing entirely in Aithon's privacy controls.
